1. Agreement to Terms
By accessing and using the School Management System (the "Service"), you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to abide by the above, please do not use this service.
These Terms and Conditions constitute a legally binding agreement made between you, whether personally or on behalf of an entity ("you") and Kola Technologies ("Company", "we", "us", or "our"), concerning your access to and use of the Service.
2. Use of Service
The School Management System is provided for the purpose of managing educational institutions, including but not limited to:
- Student enrollment and records management
- Teacher and staff management
- Attendance tracking and grade management
- Fee collection and financial management
- Parent-teacher communication
You agree to use the Service only for lawful purposes and in accordance with these Terms. You agree not to use the Service in any way that could disable, overburden, damage, or impair the Service.
3. User Accounts
When you create an account with us, you must provide information that is accurate, complete, and current at all times. Failure to do so constitutes a breach of the Terms, which may result in immediate termination of your account.
You are responsible for safeguarding the password that you use to access the Service and for any activities or actions under your password. You agree not to disclose your password to any third party.
You must notify us immediately upon becoming aware of any breach of security or unauthorized use of your account.
4. Data and Privacy
We take the privacy and security of your data seriously. All data entered into the system, including student records, financial information, and personal details, is stored securely and handled in accordance with applicable data protection laws.

5. Subscription and Payment
Some parts of the Service are billed on a subscription basis ("Subscription"). You will be billed in advance on a recurring and periodic basis ("Billing Cycle"). Billing cycles are set on a monthly or annual basis, depending on the type of subscription plan you select.
At the end of each Billing Cycle, your Subscription will automatically renew under the exact same conditions unless you cancel it or we cancel it.
A valid payment method, including credit card or other approved method, is required to process the payment for your Subscription. You shall provide accurate and complete billing information.
6. Refund Policy
We offer a 14-day money-back guarantee for new subscriptions. If you are not satisfied with the Service within the first 14 days of your subscription, you may request a full refund.
Refund requests after the 14-day period will be evaluated on a case-by-case basis. Please contact our support team at support@kolapro.com for refund requests.
7. Intellectual Property
The Service and its original content (excluding Content provided by users), features, and functionality are and will remain the exclusive property of Kola Technologies and its licensors.
The Service is protected by copyright, trademark, and other laws of both Kenya, Uganda, Tanzania, and foreign countries. Our trademarks and trade dress may not be used in connection with any product or service without the prior written consent of Kola Technologies.
8. Limitation of Liability
In no event shall Kola Technologies, nor its directors, employees, partners, agents, suppliers, or affiliates, be liable for any indirect, incidental, special, consequential or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from:
- Your access to or use of or inability to access or use the Service
- Any conduct or content of any third party on the Service
- Any content obtained from the Service
- Unauthorized access, use or alteration of your transmissions or content
9. Termination
We may terminate or suspend your account immediately, without prior notice or liability, for any reason whatsoever, including without limitation if you breach the Terms.
Upon termination, your right to use the Service will immediately cease. If you wish to terminate your account, you may simply discontinue using the Service or contact us to delete your account.
All provisions of the Terms which by their nature should survive termination shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity and limitations of liability.
10. Changes to Terms
We reserve the right, at our sole discretion, to modify or replace these Terms at any time. If a revision is material, we will try to provide at least 30 days' notice prior to any new terms taking effect.
By continuing to access or use our Service after those revisions become effective, you agree to be bound by the revised terms. If you do not agree to the new terms, please stop using the Service.
